It shows where your hours really go
Editing, retouching, emailing, sourcing, scheduling, admin, and sales all take time. Once you write them down you can see the split between shooting and everything else — and where the business quietly leaks.
A Photographers Business Circle Project
Most photographers can tell you what they shot last month. Very few can tell you what it actually cost them, how many hours it took, and which part of the week earned anything. The Activity Ledger is the missing page: one simple record of what you did, what it cost, and what it brought in — kept weekly, read monthly, and used to make pricing and growth decisions from your own numbers instead of a feeling.
Why this exists
The ledger is deliberately small. Ten minutes a week, one page, no accounting software. The value is in the habit of writing things down while they're fresh — then reading the month back.
Editing, retouching, emailing, sourcing, scheduling, admin, and sales all take time. Once you write them down you can see the split between shooting and everything else — and where the business quietly leaks.
Each line carries a cost (gear, props, travel, software, ads, studio time) and an earning (session fee, print, upgrade, referral). Over a month you get a picture no spreadsheet formula can guess at.
When you know your real hours and real costs per client, pricing stops being a comparison to someone else's website. You can see your break-even point and what a sustainable session fee actually has to be.
The ledger shows which activity types earn their keep and which don't — so you can drop, raise, or package with evidence rather than hope.
The sheet
Here's the shape of it. Every activity you do for the business gets one line. Fill it in as you go, then total the week.
| Date | Activity | Time spent | Cost | Earned | Notes |
|---|---|---|---|---|---|
| Mon 03 | Inquiry reply + pricing email | 0:25 | 0.00 | 0.00 | Lead from local referral |
| Mon 03 | Headshot session (individual) | 1:15 | 12.00 | 225.00 | Studio time + travel |
| Mon 03 | Culling + edit, 12 images | 2:40 | 0.00 | 0.00 | The hour sink — watch this line |
| Mon 03 | Local ad / social promotion | 0:35 | 45.00 | 0.00 | Track what each dollar returns |
| Mon 03 | Consultation, corporate team | 0:45 | 0.00 | 0.00 | No fee — decide if it's worth keeping |
| Mon 03 | Product / album fulfilment | 1:05 | 68.00 | 310.00 | Prints and wall art |
At the end of the week you add three totals: hours logged, money out, money in. Divide earned by hours and you have your true hourly rate for the week — the number most photographers have never seen.
How to use it
Don't wait for Monday. Open the ledger today and backfill what you remember from the last few days. Imperfect data beats none.
One line, thirty seconds, straight after the task. Memory rounds everything — the edit that took three hours becomes 'a couple'.
Hours, costs, earnings. Write the three numbers at the bottom of the week. This is the only review the ledger asks for.
After four weeks you'll have a real picture. Change one thing — a fee, a package, an activity you stop doing — and watch the next month move.
